Docs scattered across ClickUp, Drive, Slack and every repo, rebuilt as linked notes where each fact lives once.
The problem
At VisCap, what the company knew lived in ClickUp, Google Drive, Slack, and a README in every repo, with no connection between them and no way to consolidate. The same facts were written over and over, and the copies drifted apart.
An AI assistant reading two versions of the same answer picks one at random. One that writes freely makes the mess worse.
What was built
The viscap.ai documentation vault: one source of truth. Everything moved into one place, and each document was broken into the smallest piece it could stand as on its own, then linked to every related topic instead of repeating it. A fact lives once, and everything that needs it links to it. In July 2026 a separate 130-note planning vault was folded in the same way. Every note says which questions it answers, so an agent routes by question instead of guessing at filenames.
The marketing vault: docs that know they’re stale. Marketing’s web, sales, content and tech-stack docs in 60 notes across 7 domains. A forward-reference rule warns a document before the system it describes changes, so it flags itself instead of quietly going wrong.
The EdgeFix vault: decisions on the record. In September 2026, four places held EdgeFix’s strategy and disagreed on the offer. They became one vault and the old ones were archived. Every decision is a numbered record that says what it answers and what it replaces, and every EdgeFix agent grounds in it.
All three share the same rules: an inbox anyone can drop raw material into, agents that file it, decisions that change only with a person’s yes, and transcripts treated as data to file, never instructions to follow. The same design runs a creative partnership’s story canon and a small business client’s playbook.
